How a global online marketplace handles invoices in 7 languages.

Supplier invoices from 7 countries now reach the ERP in about 10 minutes each instead of 40 to 45, with exceptions sent to the AP team.

The challenge

Seven countries, seven languages, one AP team.

Supplier invoices arrived by email from 7 countries, each in its own language and format. For each one, someone read the invoice, checked the supplier, tax ID and amounts, and keyed it into the ERP. That took 40 to 45 minutes an invoice, across 15,000 invoices a year, roughly 30% of the company's global invoices. Three vendors had tried to automate this work before and failed.

The solution

A digital worker that reads all seven languages.

A Ramain digital worker picks up each invoice from the country's AP inbox, reads it in its original language and checks the supplier, tax ID and amounts against that country's rules. It then posts the invoice to the ERP, and to the local tax portal where one is required. Unreadable scans, tax ID mismatches and possible duplicates go to the AP team with the reason attached.

The results

About 10 minutes an invoice, live in two months.

  • Time per invoice down from 40 to 45 minutes to about 10.
  • Around 10,000 hours of manual work saved a year.
  • 60% cost reduction compared with manual labor.
  • Live end to end in two months, after three earlier vendors had failed.
